The challenge
What the organization was facing
The front desk and hygiene team at a busy three-dentist practice were spending 40–50 minutes per staff member on end-of-day documentation — appointment notes, insurance pre-authorization requests, and patient follow-up drafts. Staff found the work repetitive and draining, and errors were creeping in due to fatigue. The practice owner had explored individual AI tools but found adoption inconsistent and unsupported.
The approach
What Lumera Learning delivered
Lumera Learning delivered a private cohort of the Certified AI Practitioner program for the full front desk and administrative team — seven participants total. Sessions were scheduled across four Saturday mornings to avoid disrupting the clinical schedule. The program was adapted to focus specifically on patient communication drafts, insurance documentation templates, and end-of-day note formats used by the practice.
The results
Measured outcomes
- End-of-day documentation time dropped from an average of 47 minutes per staff member to under 17 minutes
- The team built a shared prompt library covering the 12 most common patient communication scenarios
- Insurance pre-authorization drafts — previously the most time-consuming task — were reduced from 20 minutes to under 6 minutes per request
- All seven participants completed the certification; the practice now uses the credential in hiring materials
- The practice owner reported higher staff satisfaction scores in the quarter following training
"We had tried a few online AI courses before — the kind where you watch videos and forget everything by Monday. Lumera Learning was different. Every session had something we could use that week."
